What is a real estate CRM?

A real estate CRM is the program where a property business keeps its contacts and the progress of each sale: who has enquired, which home they are interested in, which viewings they have had and where things stand. Most are designed for agencies selling resale homes one at a time.

A developer sells new builds: the homes in a single development, each available, reserved or sold, with its reservations and documents. Our CRM is built for exactly that.

How do you manage a property development with the system?

This is how an enquirer gets to view a home and reserve it, without anyone having to remember to call or remind them.

  1. The enquiry comes in, the details go out

    They ask for information on the development’s website, on a portal or through an ad, and they enter the system with their source and the home they are interested in. If they were already there, no duplicate is created. If they asked about a specific home, its details sheet goes out on its own, as a PDF under your company’s brand, on the same channel.

  2. Assigned automatically

    It goes to the agent who already looks after them or, if they are new, to the one whose turn it is by development, working hours, workload and language. A summary tells the agent what they asked for and how it fits; the decision is always theirs.

  3. They pick the viewing time

    From the website, your company’s WhatsApp or the link they receive, they see the agent’s available slots at the show flat or the sales office and choose one. The viewing goes into the agent’s schedule on its own, never clashing with another, and shows up in their Google or Outlook calendar.

  4. Confirmation and reminders, on their own

    They get the confirmation straight away, then one reminder the day before and another two hours before, under your company’s brand and only on the channel they have agreed to. If they need to change or cancel, they do it on the same channel.

  5. The outcome, in two clicks

    At the sales office, the QR code in their confirmation checks them in. Afterwards, the agent records how it went: interested, wants another viewing, wants to reserve, not interested or no-show. Their Today screen shows the day’s viewings, the ones booked on their own and who still needs attention.

  6. Reservation and signature

    If they want to reserve, the home is held for a few days and becomes reserved, with the anti-money-laundering file, the contract from your lawyer’s template and a qualified electronic signature. The development’s availability updates itself.

Questions about CRM for property developers

Does an agency CRM work for a property developer?

Only partly. Of the top nine Google results for «crm inmobiliario» in September 2026, six were aimed only at agencies selling resale homes. A developer needs to see every home in a development as available, reserved or sold, and to keep each buyer’s reservations and documents.

What is the difference between a CRM and an ERP for a developer?

A CRM handles the sale: enquiries, follow-up, reservations and each buyer’s documents. An ERP handles internal management, such as accounting and purchasing. The system we build for developers focuses on sales and does not include accounting.

Does it work for a construction company?

Yes, if it builds and sells its own new builds. It is designed for developers and builders selling their own developments, not for resale agencies.
