What is a real estate CRM and how do you choose one?
Meypi Developers · Updated on
A real estate CRM is the software where a real estate company keeps its contacts and the follow-up of every sale: who has enquired, which home they are interested in, which viewings they have had and where they stand. At Meypi Developers, a software studio in the Barcelona metropolitan area, we build custom CRMs for property developers: this guide explains what a real estate CRM is for and what to look at to choose the best one.
1. What is a real estate CRM?
CRM stands for customer relationship management. A real estate CRM applies that idea to selling homes: each client is linked to the homes they are interested in, their viewings and their history, and anyone on the team can see where they stand.
It replaces spreadsheets, scattered emails and each salesperson’s notes: the whole sale lives in one place.
2. What is a real estate CRM for?
- Not losing contacts.: Everyone who enquires, through the website, a property portal or by phone, is recorded with the home they are interested in.
- Following up.: You can see what each client asked for, what they were told and what the next step is.
- Organising viewings.: Each viewing sits in the salesperson’s calendar, with the client’s record.
- Knowing what is left to sell.: Which homes are available, reserved or sold.
- Keeping reservations and documents.: Next to each client, without digging through folders.
- Sharing out the work.: Each person on the team sees what is theirs, with their own permissions.
3. How does an agency CRM differ from a property developer CRM?
Most real estate CRMs that show up on Google are built for agencies that sell or let resale homes: each property is a listing and each owner, one more client.
A property developer sells new builds: the homes of one development, often before they are built. So it needs different things:
- The whole development in view.: Every home available, reserved or sold, up to date for the whole team.
- A website for each development.: With its homes and a contact form that goes straight into the CRM.
- Reservations and documents per buyer.: Each home’s reservation and its documents, in the buyer’s record.
- Profiles per team.: Management, sales and marketing do not need to see the same things, and each buyer’s data is only seen by those who need it.
4. How do you choose the best real estate CRM?
There is no best real estate CRM for every company: the best one fits what you sell and how your team works. Before deciding, check these points:
- It is built for what you sell.: Resale, rentals and new builds need different features.
- Contacts come in on their own.: Enquiries from your website and forms should arrive without anyone copying them by hand.
- Availability is always current.: When a home is reserved, the whole team should see it at once.
- Each profile sees its own.: With permissions, so each buyer’s data is only seen by those who need it.
- It automates repetitive work.: Booking viewings, assigning contacts or alerting a salesperson should not depend on someone remembering.
- It connects with what you already use.: Your website, your management software and your team’s tools.
- Your team actually uses it.: A CRM the sales team never opens is no use, however complete it is.
- Your data is yours.: Ask how you can export your contacts and history if you ever switch software.
5. Off-the-shelf or custom CRM?
An off-the-shelf CRM is ready to go and built for most companies in the sector, which are agencies. It adapts as far as the software allows.
A custom CRM is built around the way you sell and connects with what you already use. It pays off when you sell new-build developments and an agency CRM does not reflect how you work.
At Meypi Developers we custom-build the real estate CRM for property developers: a website for each development, unit availability, buyer follow-up, reservations and documents, a panel with profiles, lead management and booked viewings.
The form on this page lets you pick a rough budget range. We reply within 24 hours.
